Payroll Administrator - Aurora, Colorado

Payroll Administrator - Aurora, Co



Prepare payroll entry, payroll tax reporting and employee payments.  Maintains appropriate records to support all payroll transactions including salary changes, deduction changes, and name and address changes.  Work requires practical knowledge of organization payroll policy, government regulations and tax requirements. Process monthly invoices from benefit providers, Assist in administering the benefits programs, providing benefits awareness and coordinating enrollments and projects.


Essential Duties and Responsibilities

Payroll Responsibilities

  • Process bi-weekly payroll information for all hourly and salary employees via the  ADP Pay Ex system, reviewing payroll paperwork for new and current employees and check employee information in the payroll system for accuracy.
  • Monitor all payroll related changes (i.e. 401K, Dental, Medical, Tax, etc.) to employee information on the payroll system and ensure payroll tax information is properly set up for each bi-weekly payroll cycle.
  • Input any incoming garnishments, tax levy’s, bankruptcy, or support orders for any employee affected.  Responsible for answering to agency the appropriate paperwork.
  • Ensure that all internal policies and procedures are being adhered to in regard to payroll processes, wage increases, commission/bonus calculation and other types of compensation issues.
  • Responsible for preparing reports for the accounting department pertaining to employee purchases and payments on open invoices.
  • Adheres to the strict confidentiality of payroll records, pay rate information and other wage related employee issues.
  • Maintains employee vacation and sick time (KPTO) accruals in both PayEx  programs ensuring established guidelines are followed.
  • Ensures the process and distribution of W2 information to all active and inactive employees is done within the required period of time as governed by law.
  • Stays abreast and aware of new laws and regulations regarding payroll and/or tax related issues.
  • Monitor and take corrective action as required regarding state and federal tax accounts
  • Working knowledge of ADP Pay EX systems. Maintains payroll/timekeeping systems and audit/reconciliation of results.
  • Assist with researching and resolving employee/manager questions or concerns related to his/her paycheck.



Other Duties and Responsibilities

  • Working knowledge of benefits system (ADP HR/Benefits Solutions). Maintain benefits systems (ADP HR/Benefits Solutions) and perform audit/reconciliation of results.
  • Process monthly invoices from benefit providers.  Review invoices for accuracy and manage request for payments.  Resolve any discrepancies and administrative issues with carriers.
  • Process the contribution manager report of the 401K (TRowe Price) after payroll is complete
  • Submit the contribution file of FSA /H S A  benefits to porvider after each payroll.
  • Respond to court orders for dependent medical coverage
  • Assist in Monthly Reporting Needs as Requested.
  • Responsible for assisting with open enrollments and data entry of any changes
  • Assist Benefits Administrator with the wellness program projects
  • Assist employees with benefits questions when needed
  • Assist other HR team members as requested.


Supervision Received

Under the general supervision of the EVP of HR, the Payroll Administrator plans work and manner of performance to meet defined work plans or objectives consulting with the EVP Of  HR  on the unusual or critical circumstance that may arise. 


Supervision Exercised

The Payroll Administrator has no direct reports but does work as a leader alongside other HR team members.  The payroll administrator is responsible for training HR members and new managers on the use of TimeForce.




  • A high school diploma is acceptable but a college degree is preferred



  • 3-5 years' experience processing payroll for a company with 500+ employees.


Knowledge, Skills and Abilities

Strong knowledge of Federal and State payroll regulations.  Understanding proper taxation of employer paid benefits.  Knowledge of Canada and Mexico pay policies  preferred in addition to US.  Strong PC skills including proficiency in Microsoft Office with an emphasis on Excel.  Strong work ethic, team player and high degree of professionalism.  Ability to deal sensitively with confidential material.  Strong interpersonal (written and verbal) communication skilss.  Ability to communicate with various levels of management.  Decision making, problem solving and analytical skills. Attention to detail, organizational, multi-tasking and prioritizing skills.

Base Salary

$70,000 - $75,000

Incentive Plan

Karcher Incentive Plan (KIP) - up to 10% of annual salary
